Zachary Systems, LLC (“Zachary Systems”, “we”, “our”, or “us”) respects your privacy. This Privacy Policy explains how we collect, use, and protect information when you use our eZ Products applications and related services.

1. Information We Collect

We collect only the information necessary to provide and support our services, such as:

Contact details (name, email address, company name)
Account credentials provided through secure sign-in methods (Google, Microsoft, or email)
Accounting data from your connected QuickBooks Online company file(s) — including check number, date, payee, and amount information — used solely to generate Positive Pay files on your behalf
Bank account and routing details you configure. Where you enable Automated Transmission for an account, this also includes the SFTP credentials used to connect to your bank on your behalf. This data is encrypted at rest and is not exportable in bulk by you or by us, though our systems access it as needed to perform the transmissions you've scheduled.
A history log of Positive Pay activity, such as batch date, delivery status, and check numbers, as described in our Positive Pay Terms
Usage information related to your eZ Products account
Billing information, which is collected and processed directly by our payment processor — we do not store your card details

We do not have access to your online banking login. If you enable Automated Transmission, we do collect the SFTP credentials needed to connect directly to your bank on your behalf for that account, as described above. We do not retain generated Positive Pay files after they are transmitted or made available to you; check amounts and payees for past activity remain available in your QuickBooks company file, not in eZ Products.

2. How We Use Information

We use collected information to:

Provide, maintain, and improve our software and customer support
Connect to QuickBooks Online and your financial institutions to generate and manage Positive Pay files
Identify your referring bank (if applicable)
Communicate about updates, billing, or support requests

3. Information Sharing

We do not sell, rent, or trade your personal information.

We may share limited information only in the following situations:

With Intuit, to establish and maintain the QuickBooks Online connection you authorize.
With service providers who help us operate eZ Products, such as our cloud hosting provider and payment processor, solely to provide the service.
With a partner bank that referred you to eZ Products, to help confirm enrollment or provide support related to that bank’s treasury management services.
When required by law or to protect our legal rights.

4. Data Security

We use industry-standard security practices and encryption to protect your data. All connections are secured via HTTPS, and authentication is handled through trusted providers such as Google and Microsoft. Bank account, QuickBooks connection, and bank transmission configuration is encrypted at rest and cannot be exported in bulk by you or by us. Where you enable Automated Transmission, our systems access the relevant transmission credentials as needed to perform the transmissions you've scheduled.

5. Data Retention

We retain your account and configuration data only as long as necessary to provide our services. We do not currently delete Positive Pay export history on a fixed schedule; retention follows our then-current data retention practices, described further in our Positive Pay Terms. You may request deletion of your data at any time by contacting support@zacharysystems.com.

Request deletion of your data
Unsubscribe from non-essential communications

8. Updates to This Policy

We may occasionally update this Privacy Policy to reflect improvements to our service or changes in regulation. The latest version will always be posted on this page.
